Applying KORMARC to the Description and Discovery of University Historical Archives: A Case Study of Seoul Women’s University

This study explores how KORMARC and the existing bibliographic infrastructure of academic libraries can be used to describe university historical records in Korean universities that lack a dedicated records management system. Three U.S. universities—Harvard, Yale, and Stanford—which have long linked MARC21 records with EAD finding aids, were examined alongside eleven Korean universities, including members of the Seoul Northeastern Private University Library Association and Seoul Women’s University. The analysis showed that the U.S. cases adopt a two-tier structure in which collection-level bibliographic records reside in the union catalog while lower-level description is delegated to EAD finding aids, with fields such as 351, 5XX, and 830 conveying hierarchy and context. In contrast, the Korean cases either applied publication-oriented cataloging rules that sever hierarchical context or relied on locally devised metadata schemas that are not integrated with the library catalog. Based on these findings, this study proposes a set of KORMARC-based descriptive elements for university historical records across six areas: administrative, identification, content, subject access, relational, and local information. The proposed elements were then applied on a trial basis to the Bahrom Character Education materials of Seoul Women’s University, using fields 351 and 830 to represent hierarchical relationships and applying 5XX note fields in various contexts to examine their applicability.
